Work outside the approved scope may require a separate quote, additional fees, and additional delivery time. Examples of out-of-scope work may include:
- Additional pages
- Major redesigns
- New functionality
- Additional integrations
- Extra revisions
- Complex custom development
- Copywriting not included in the original scope

4. Client Responsibilities
To complete a project properly, the client may need to provide brand assets, logo files, website content, images, business information, access to hosting, domain, WordPress, analytics, CRM, or third-party tools, feedback and approvals, and legal texts when applicable.
The client is responsible for ensuring that all content, images, logos, trademarks, and materials provided are accurate, lawful, authorized, and properly licensed.
Delays in providing required materials, access, payment, feedback, or approvals may delay the project timeline.
5. Payments
Payment terms will be defined in the quote, invoice, proposal, or written agreement. Depending on the project, payment may be required upfront, in milestones, monthly, upon completion, or according to a custom payment schedule.
Work may not begin until the required initial payment has been received. Top One Media LLC may pause or stop work if payments are late, incomplete, disputed, or not received according to the agreed terms.
6. Delivery Timelines
Estimated timelines are provided for planning purposes only. Delivery timelines may vary depending on project complexity, client feedback speed, required revisions, third-party tools, changes in scope, delays in materials, delays in payment, or force majeure events.
Top One Media LLC will make reasonable efforts to deliver work on time, but we do not guarantee exact delivery dates unless specifically agreed in writing.
7. Revisions
Projects may include a specific number of revisions depending on the agreed scope. A revision means a reasonable modification to work already delivered. Revisions do not include a complete redesign, new pages, new functionality, or work not included in the original scope.
Additional revisions or major changes may require additional fees and additional time.
8. Client Review and Approval
The client is responsible for reviewing and approving work in a timely manner. Once a design, page, feature, or project stage is approved, future changes may be treated as additional work.
If a project remains inactive for an extended period due to missing feedback or unpaid invoices, Top One Media LLC may close or archive the project. Reactivation may require a new timeline or additional fees.
9. Cancellations
A client may request to cancel a project by contacting us at: contact@toponemedia.pro
If a project is cancelled after work has started, the client may be responsible for payment for work already completed, time spent, resources used, and any non-refundable expenses.
Top One Media LLC may also cancel or pause a project if the client fails to provide required information, fails to make payments, or violates these Terms.
10. Refund Policy
Because our services involve custom digital work, payments may be non-refundable once work has started. The following are generally non-refundable:
- Setup fees
- Consultation fees
- Completed work or work already started
- Strategy work and design concepts
- AI or automation setup work
- Domains, hosting, plugins, software, and third-party costs
- Rush fees or priority delivery fees
11. Chargebacks and Payment Disputes
If you have an issue with a payment or service, you agree to contact us first at: contact@toponemedia.pro. We will make reasonable efforts to review and resolve the issue.
Unauthorized chargebacks or payment reversals may result in suspension of services, removal of access, or termination of the project.
12. Third-Party Tools and Services
Top One Media LLC is not responsible for outages, errors, limitations, pricing changes, or service interruptions caused by third-party providers. The client is responsible for third-party fees unless otherwise agreed and for complying with the terms of any third-party tools used.
13. Website Content and Legal Compliance
The client remains responsible for the accuracy, legality, and compliance of all published content. Top One Media LLC does not provide legal, tax, financial, medical, or compliance advice. If legal compliance is required, the client should consult a qualified professional.
14. AI Services and Automation
AI-generated outputs may require human review. The client is responsible for reviewing, approving, monitoring, and supervising AI outputs before relying on them for customer-facing or important operational decisions.
We do not guarantee that AI systems will be error-free, uninterrupted, accurate, or suitable for every use case. AI systems may require ongoing monitoring, updates, and maintenance.
15. SEO and Marketing Results
We do not guarantee specific rankings, traffic, leads, sales, revenue, conversions, or search engine results. SEO and marketing outcomes depend on many factors outside our control, including search engine algorithms, competition, website history, content quality, market demand, and user behavior.
16. Website Maintenance and Support
Maintenance, updates, backups, and ongoing support are included only if specifically agreed in writing. After project delivery, the client is responsible for maintaining their website, hosting, plugins, and security.
17. Access Credentials and Security
The client is responsible for providing accurate access and managing account ownership. We recommend updating passwords after project completion. Top One Media LLC is not responsible for unauthorized access caused by client-side security issues.
18. Intellectual Property

24. Indemnification
You agree to indemnify and hold harmless Top One Media LLC from claims, damages, losses, liabilities, costs, and expenses arising from your use of our services, your business activities, content you provide, your violation of these Terms, or your misuse of AI systems, automations, or deliverables.
